Getting started – Part 2: customising your LMS

Written by Daria Nasedkina

Your LMS is flexible — you can tailor almost every part of it to suit how your organisation works. This article is a tour of what you can customise as an administrator, with links to step-by-step guides for each area.

You don't need to set all of it up, and you can come back and change things at any time.

Set up user profiles and custom fields

The LMS needs only a few basic details for each user — an email address (or username) and their first and last name. That's enough to enrol them in training.

Beyond the basics, you can add custom fields such as location or job title to group users for easier viewing and reporting. See What are custom profile fields?

Custom fields also let you build user segments, which you can use to automate enrolments for everyone in a segment with Smart Enrolments.

Choose your sign-in security

By default, learners sign in using two-factor authentication — a username and password combined with a secure one-click log-in link and an email passcode.

If you need stronger sign-in security that asks users for two or more verification factors, see the Atlas Multi-factor authentication guide.

Set up your admin team and structure

Administrators

You can run the LMS single-handedly as the Account Owner, or share the work across a team of administrators with different levels of access. See How do I create an administrator?

By default, the Account Owner is the primary admin contact, so their details appear as the training contact throughout the LMS and in system emails. To change this, see How do I change a primary admin contact?

Organisation structure

You can manage your company as a single organisation, or split it into organisational segments — custom rules that group users to match your structure. Each segment can have its own segment administrator. See How do I create a segment administrator?

Set up learner emails and reminders

You can control which emails go to your learners and how often. The platform can send these automatically:

You can also write your own emails. See How do I create a custom email template?

For all messaging options, see What are the messaging settings?

Configure your courses

The Course library holds every course iHasco offers. You can search it and add or remove courses from your My Courses list — see How do I add a course?

Course settings can apply globally to all courses or individually to specific ones, covering things like the pass mark, training interval, and expiry dates. For the full list with links, see How do I edit course settings?

Choose how you enrol users

Each course can be open to everyone (for training everyone needs, such as Fire Awareness) or enrolment-only (for specific roles, such as Display Screen Equipment). To set this per course, see How do I change a course's enrolment method?

You can also set up automatic enrolments using Smart Enrolments.

Control the learner experience

You decide what learners can see and do in their account:

Monitor training and compliance

Get a quick view of key information at administrator, course, and learner level using the Dashboard and Report cards, see How do I monitor overall compliance?

To print or download reports, see How do I download course results?

To view and export events, reviews, and ratings, see How do I monitor LMS Events? and How do I monitor learner reviews and ratings?
