How do I create a custom email template?

D
Written by Daria Nasedkina

Custom email templates are used to send your own ad-hoc emails to individuals, groups, or all users, separately from the LMS's automated messages. You create reusable templates with a name, subject, and body (including formatting and tags that pull in user details), then send them manually whenever you need to.

Step-by-step instructions

  1. Go to Settings.

  2. In the General section, click Messaging.

  3. In the Custom email templates section, click +Add email template.

  4. In the Email template name box, type the name of your email. This name is shown in the list of email templates.

  5. In the Email template subject box, type the subject line for the email.

  6. Before you start typing the template body, go to Formatting and tags on the right. The pop-up window explains how to add links, change text to bold or italic, and use tags to substitute user information in your template. For more details, see How do I add formatting and tags to emails?

  7. Type your text, with formatting and tags, into the Email template body box.

  8. Click Save changes.

Note: All custom email templates must include at least one required tag (the Atlas log-in link or button).

Your new email template is available immediately in the Send an email option on the User Management page.

FAQ

Where can I see my email templates?

To find a list of your templates, go to Settings → General → Messaging → Custom email templates. Here you can Edit, Duplicate, Delete, or Send templates to all users.

Do all admins have access to email templates?

Yes. Email templates are created at the company level, not for individual users. All admins with the appropriate access rights can view, edit, and send the templates.

Can I automate the delivery of custom emails?

No. These emails should be sent out manually and can't be added to the automated emails process.
