How do I enable moderated self-registration for my users?

D
Written by Daria Nasedkina

With moderated self-registration, users who register through the link you share are added with a "pending" status, and their account only becomes active once you approve it. This gives you control over who gets access and is the more secure option. For a comparison of the two routes, see What is self-registration?

If you'd rather users get access immediately without approval, use automatic self-registration instead. See How do I enable automatic self-registration for my users?

Step-by-step instructions

⚠ The steps below depend on how you log in — check yours before you start.

Look at the web address you use to log in:

If you log in at atlas-hub.co.uk

Step 1: Set up self-registration

  1. Go to Users in the left-hand menu.

  2. Click the three dots in the top right corner and select Configure Self Registration.

  3. Select Moderated.

  4. Copy the link provided.

Step 2: Share the link with your users

Share the registration link with your users via your regular communication channels. Below are two email templates you can use:

Email template for username-based (no email) users

"To create your iHasco account and access your training, follow this link: <insert link>.

  1. Fill out your first and last names.

  2. Under "Do you have a work or personal email address?", toggle to No.

  3. Create a username in the format firstname.lastname (for example, Sam.Smith) and set a password.

  4. Fill out all remaining custom fields, if any.

  5. Click "Create account".

Once you've registered, please allow a few days for your account to be approved. We'll let you know when it's active."

Email template for email-based users

"To create your iHasco account and access your training, follow this link: <insert link>.

  1. Fill out your first and last names.

  2. Fill out your work email address.

  3. Fill out all remaining custom fields, if any.

  4. Click "Create account".

Allow a few days for your account to be approved. Once approved, you'll get a welcome email with a login link, and can start your training."

Step 3: Approve registrations

  1. Go to Users.

  2. Click Filters in the top-right corner.

  3. Under User Status, select Pending users to see everyone waiting for approval.

  4. In the Actions column, click the three dots and select Approve.

Note: Atlas doesn't send you email notifications when someone new registers, so you'll need to check the Pending users filter regularly to catch new requests.

Step 4: Let username users know they're active (username users only)

Because Atlas holds no contact details for username users, it can't notify them automatically — so once you've approved them, you'll need to send them the login link and let them know they're active yourself. A template you can use:

"Your account has been approved and is now active. You can access your training at www.atlas-hub.co.uk and log in with the credentials you created."

Interactive walkthrough

If you log in at app.ihasco.co.uk

Step 1: Set up self-registration

  1. Go to Settings.

  2. In the Advanced section, click Security.

  3. In the Registration & login section, click the Registration method dropdown and choose Moderated self-registration.

You can also set these related options:

  • Password protected sign in: require users to sign in to the training suite with a password in addition to their email address.

  • Email domain lock: prevent users from self-registering with an email address that doesn't belong to the specified email domain. In the Email domain field, enter the allowed domain(s) — separate multiple domains with commas (for example, example.com, another-example.com).

Step 2: Share the link with your users

  1. Go to your dashboard at app.ihasco.co.uk/client.

  2. Find the Training suite URL section and copy the link.

  3. Share the link with your users via your regular communication channels. You can use the email templates in the atlas-hub.co.uk section above.

Step 3: Approve registrations

  1. Go to Users.

  2. Click the Pending tab to see the users requiring your approval to access the LMS.

  3. Find the user, click the arrow next to it for more options and select Approve.

FAQ

Will I be notified about new self-registered users I need to approve?

No — Atlas doesn't send email notifications for this. To find new requests, filter your users by the Pending users status.

How do I know if there are pending requests?

Check regularly by filtering your users by the Pending users status, which shows all new registrations.

How do username (no email) users know they've been approved?

Their account becomes active only after your approval. As Atlas doesn't have their email in the system, no automated emails can be sent, so it's your responsibility to let them know their account is now active and they can start training.

How do email users know they've been approved?

They're notified automatically by Atlas. Once you approve them, their account activates and they receive a welcome email containing the login instructions.

A user gets an "Account not created, please contact your administrator" error — what should they do?

This usually means the username they picked is already taken. Suggest they try a variation, such as adding numbers to the end — for example, Sam.Smith22.

How do I decline a registration request?

Requests can't be declined as such, but you can delete them:

  1. Go to Users.

  2. Click the Pending tab to see the users requiring your approval to access the LMS.

  3. Find the user and click View/Edit.

  4. In the title with the user's name on the left, click the three dots and select Delete.

I approved a registration by mistake — what should I do?

You can delete the account. See How do I delete a user?

Can the self-registration link include our company name?

Unfortunately, not at the moment.

Can I approve or decline several registrations at once?
