How do I set an individual user as active or inactive?

Setting a user as inactive removes their access to Atlas while keeping their profile and training history intact. Use it when someone leaves, goes on maternity leave, or shouldn't be using the platform for a while — and set them back to active when they return. It's a reversible switch, so you can change a user's status as often as you need.

Step-by-step instructions

Look at the web address you use to log in:

  1. Go to Users in the left-hand menu.

  2. Use the search bar to find the user.

  3. In the Actions column on the right of their row, click the three dots button and select View/Edit User Details.

  4. Toggle the status switch next to their name to Active/Inactive.

  5. Click Confirm.

Note: When you reactivate a username (no email) user, their username stays the same but their old password no longer works. You'll need to set a new temporary password and share the login details with them yourself.

To set a user as inactive:

  1. Go to Users.

  2. Click the Active tab.

  3. Find the user.

  4. Click the arrow on the right of their details to open the menu, then select Set inactive.

  5. Read the confirmation message and, if you're sure, click OK.

To set a user as active:

  1. Go to Users.

  2. Click the Inactive tab.

  3. Find the user.

  4. Click the arrow on the right of their details to open the menu, then select Set active.

FAQ

What does it mean for a user to be inactive?

Inactive users lose all access to their iHasco account, including past courses and their certificates. They also don't receive any emails sent by admins.

Can a user be reactivated?

Yes. You can switch users between active and inactive as often as you need. Note that when a username (no email) user is reactivated, their old password stops working, so you'll need to set a new temporary password and share the updated details with them.

Can an admin access an inactive user's training history?

Yes. It appears in the user's profile card in the Enrolments section, and in the Archived tab of the Reports section.

Do inactive users appear in analytics reports?

No. To get their data, go to the Archived tab in Reports, select the inactive user, and export while viewing that tab.

Will inactive users still belong to segments?

Yes, as long as their profile data hasn't been deleted. They stay in their segment but show as inactive, with their results in the Archived tab of Reports.

When "all users" are enrolled in a course, are inactive users included?

If a course's enrolment method is set to "everyone", inactive users are enrolled but aren't notified and can't access it. This doesn't affect your credits or seats, since those are only used when a user starts a course. If those users are later reactivated, they get full access straight away.

If you're enrolling via the tick-box method in the Enrolments area, stay within the Active users tab to apply enrolments only to active users — the All users tab includes inactive ones too.

Does making a user inactive free up user seats or credits?

No. Seats and credits are used once a learner starts a course, and once used they stay counted — setting that user inactive afterwards doesn't reimburse them.
