There are two ways a user can sign in to the LMS: with their email address, or with a username and temporary password. You choose which when you add them — it usually comes down to whether the user has an email address you can use.
1. Sign in by email
If a user has an email address — corporate or personal — you can use it as their sign-in method.
Once created, the user is automatically emailed a login link. The first time they sign in, they're asked to create their own password.
Note: The login link is sent automatically as soon as you create the user. If you'd rather not contact them yet, either set them up with a username instead, or wait to add them until the timing suits your communication plan.
To edit a user's sign-in method, see How do I edit an individual user's details?
2. Sign in by username
If a user doesn't have an email address, you can set them up with a username and a temporary password instead.
Because there's no email address on file, the system can't contact this user directly — so you'll need to pass their username and temporary password to them yourself. On their first log in, they'll be prompted to set their own password.
Tips for creating a username:
Use the format firstname.lastname — for example, John.Smith.
If that's already taken, add a number to the end — for example, John.Smith2.
Usernames can't be in email format, so avoid the "@" symbol.
What about Single Sign-On (SSO)?
The two methods above are built into the LMS. They're separate from Single Sign-On (SSO), which is a paid add-on that lets users log in through your organisation's own identity provider. If your account uses SSO, that's configured separately — see How do I configure Single Sign-On (SSO) for Atlas?
