How do I enable self-registration for my users?

Overview

Rather than creating every account yourself and sending out login details, you can let users register their own accounts through a link you share. This is the quicker route when you're onboarding a lot of people — they enter their own details, and depending on the option you choose, either get access straight away or wait for you to approve them first.

Types of self-registration

  • Unmoderated: users who register following your link are added and activated immediately, with nothing further needed from you.

  • Moderated: users who register following your link are added with a "pending" status, and their account only becomes active once you approve it.

We recommend moderated self-registration, as it gives you control over who gets access and is the more secure option.

Step-by step instructions

Step 1: Set up self-registration (in Atlas)

  1. Go to your Atlas admin page.

  2. Go to Users in the left-hand menu.

  3. Click the three dots on the right, then select Configure Self Registration.

  4. Select Unmoderated or Moderated.

  5. Copy the link provided.

Step 2: Share the link with your users

Share the registration link with your users via your regular communication channels.

Below are two email templates that you can use to send self-registration instructions to your users:

Email template for username-based (no email) users

"To create your iHasco account and access your training, follow this link: <insert link>.

  1. Fill out your first and last names.

  2. Under "Do you have a work or personal email address?", toggle to No.

  3. Create a username in the format firstname.lastname (for example, Sam.Smith) and set a password.

  4. Fill out all remaining custom fields, if any.

  5. Click "Create account".

Once you've registered, please allow a few days for your account to be approved. We'll let you know when it's active."

Email template for email-based users

"To create your iHasco account and access your training, follow this link: <insert link>.

  1. Fill out your first and last names.

  2. Fill out your work email address.

  3. Fill out all remaining custom fields, if any.

  4. Click "Create account".

Allow a few days for your account to be approved. Once approved, you'll get a welcome email with a login link, and can start your training."

Step 3: Approve registrations (for moderated only)

  1. Go to Users in the left-hand menu.

  2. Click Filters in the top-right corner.

  3. Under User Status, select Pending users to see everyone waiting for approval.

  4. In the Actions column, click the three dots and select Approve.

Note: Atlas doesn't send you email notifications when someone new registers, so you'll need to check the Pending users filter regularly to catch new requests.

Step 4: Let username users know they're active (username users only)

Because Atlas holds no contact details for username users, it can't notify them automatically — so once you've approved them, you'll need to send them the login link and let them know they're active yourself. A template you can use:

"Your account has been approved and is now active. You can access your training at www.atlas-hub.co.uk and log in with the credentials you created."

FAQ

Will I be notified about new self-registered users I need to approve?

No — Atlas doesn't send email notifications for this. To find new requests, filter your users by the Pending users status.

How do I know if there are pending requests?

Check regularly by filtering your users by the Pending users status, which shows all new registrations.

How do username (no email) users know they've been approved?

  • On the unmoderated route their account is active straight away and they don't need any additional confirmations.

  • On the moderated route their account gets active only after your approval. As Atlas don't have their emails in the system, no automated emails can be sent so it is your responsibility to let users know that their accounts are now active and they can start training.

How do email users know they've been approved?

They get automatically notified by Atlas. On both routes, their account activates (immediately if unmoderated, or on your approval if moderated) and they receive a welcome email containing the login instructions.

A user gets an "Account not created, please contact your administrator" error — what should they do?

This usually means that a username user has picked is already taken. Suggest they try a variation, such as adding numbers to the end — for example, Sam.Smith22.

How do I decline a registration request?

Requests can't be declined as such, but you can delete them:

  1. Filter by Pending users.

  2. Click the three dots in the Actions column and select View/Edit User Details.

  3. Click Delete in the top-right corner.
